Booking Terms & Conditions
Tripora Tours and Travel Ltd
These Terms & Conditions form the basis of the contract between the client and Tripora Tours and Travel Ltd. By confirming a reservation, the client acknowledges acceptance of the conditions outlined herein.
Tripora Tours and Travel Ltd designs bespoke journeys across East Africa and acts as an intermediary between clients and carefully selected local service providers, including lodges, airlines, transport operators, and park authorities.
1. Reservations
A reservation becomes confirmed upon receipt of the required deposit and written confirmation from Tripora Tours and Travel Ltd.
At the time of booking, clients must provide full passport names, travel dates, selected itinerary, room configuration preferences, number of participants, and flight details where applicable.
Certain services — particularly gorilla trekking permits — are subject to strict governmental regulation and limited availability. Advance reservation is strongly recommended, often between one and twelve months prior to travel.
Participation restrictions apply:
- Children under 12 years may not track chimpanzees.
- Children under 15 years may not trek mountain gorillas.
2. Prices & Payments
All prices are quoted in Euros (EUR), unless otherwise specified.
A deposit of 50% of the total tour cost is required at confirmation, or no later than ten weeks prior to departure. The remaining balance is due 30 days before the commencement of services.
Reservations made within 30 days of departure require full payment at the time of confirmation.
Payments may be made via credit card, bank transfer, foreign currency cheque, or cash (local or foreign). Any bank or transaction charges are the responsibility of the client.
Prices are calculated based on the services and exchange conditions prevailing at the time of quotation. Tripora Tours and Travel Ltd reserves the right to adjust prices in the event of significant external cost increases beyond its control.
3. Accommodation
Accommodation is reserved according to the category and room type confirmed in the itinerary.
Standard pricing is based on double occupancy (two persons sharing a twin or double room). Single occupancy is available subject to a supplement and confirmation. Triple arrangements may be available upon request but are not guaranteed.
While every effort is made to secure the stated properties, accommodation may be substituted with an equivalent property of similar standard should circumstances require.
4. Inclusions & Exclusions
Unless otherwise specified in writing, tour prices include transport as per itinerary, park entrance fees and permits where stated, driver allowances, and mandatory third-party insurance.
Unless explicitly included, prices exclude international flights, visas, departure taxes, travel insurance, gratuities, beverages, laundry, personal expenses, and accommodation or meals in Kampala unless stated.
5. Transport & Guiding
Safaris are conducted in 4×4 safari vehicles appropriate to terrain and group size, accompanied by professional English-speaking driver-guides.
Guides in Italian, German, French, or Spanish may be arranged upon request, subject to availability and additional cost.
6. Alterations to Itinerary
Tripora Tours and Travel Ltd reserves the right to modify routes, accommodations, schedules, or services where necessary due to operational requirements, weather conditions, safety considerations, or force majeure.
Such adjustments shall not constitute grounds for cancellation or compensation, provided that the overall standard and intent of the itinerary are maintained.
Tripora Tours and Travel Ltd further reserves the right to decline or remove any participant whose conduct is deemed disruptive, unsafe, or prejudicial to the well-being of others.
7. Wildlife Viewing Disclaimer
Wildlife viewing occurs in natural environments and sightings cannot be guaranteed.
A gorilla trekking permit grants access to the park and to the gorillas’ last known location; however, visibility cannot be assured.
Clients are expected to adhere strictly to park regulations and responsible tourism practices.
8. Cancellations & Refund Policy
All cancellations must be submitted in writing.
For cancellations received at least 60 days prior to departure, a full refund shall be issued, less any non-recoverable expenses already incurred.
For cancellations made closer to departure, the following standard charges apply:
- 50% of the tour cost for cancellations 14–35 days before departure
- 75% for cancellations 2–14 days before departure
- 100% for cancellations within 48 hours of departure
Gorilla permits are strictly non-refundable except in documented cases of medical incapacity, subject to approval by the issuing authority.
No refunds will be granted for unused services once travel has commenced.
9. Transfer of Booking
Subject to supplier approval, a confirmed booking may be transferred to another person provided all original arrangements remain unchanged. Any additional administrative or supplier costs will be borne by the client.
Permit transfers are subject to government regulations and cannot be guaranteed.
10. Travel Insurance
Comprehensive travel insurance is strongly recommended and should include medical coverage, evacuation, cancellation protection, and coverage for personal belongings.
Tripora Tours and Travel Ltd accepts no liability for losses that would otherwise be covered under a suitable insurance policy.
11. Complaints Procedure
Any concern arising during the journey must be communicated immediately to the driver-guide or local representative to allow prompt resolution.
Should the issue remain unresolved, written notice must be submitted within 30 days of completion of travel. Claims received beyond this period may not be considered.
12. Liability
Tripora Tours and Travel Ltd acts as an intermediary for independent service providers and shall not be held liable for injury, delay, loss, damage, or irregularity arising from acts or omissions beyond its reasonable control.
Liability is governed by the laws of the country in which the relevant service is provided. Any dispute shall be subject to the jurisdiction of the competent courts of that country.
Personal baggage and belongings remain the responsibility of the client at all times.
